Timeline is everything in production. Spectacularly designed booths can fail in execution due to timeline slip. This 60-day framework applies to exhibition booths, cafe grand openings, retail store launches, or office fit-outs.
H-60 to H-50: Brief & Discovery
- Kickoff meeting with brand team (marketing, operations)
- Location survey, venue for booth, or site visit for fit-out
- Lock objective, awareness, sales, deals, or combination
- Confirm budget range, realistic numbers
- Review brand guideline and key message
Red flag: If brand can't decide objectives by H-50, slip likely cascades to next phases. Pause is better than rush.
H-50 to H-40: Concept Development
- 2-3 moodboards from design team
- Preliminary 3D render for preferred concept
- Flow diagram, how audience moves through space
- Initial tech list. LED, lighting, kiosk, demo equipment
- Budget estimation aligned with concept
Decision point H-40: Lock concept. After this, major changes = cost & timeline impact.
H-40 to H-30: Engineering & Finalization
- Technical drawings, floor plan, elevation, section
- Structural engineering, load calc if applicable
- Electrical engineering, power, distribution, backup
- Final material specification, wood type, finishing, LED spec
- Final budget with line-item details
Decision point H-30: Freeze engineering. Contractor starts material procurement and CNC cutting. Change orders after this = 15-30% premium.
H-30 to H-20: Procurement & Permit
- Material procurement, multiplex, acrylic, HPL, LED, hardware
- Venue permit submission (for booth) or building (for fit-out)
- Partner vendor coordination. LED, audio, turntable specialist
- Graphic content finalization, key visual, product photo, copy
- Promotional material, brochure, giveaway, business card
H-20 to H-10: Production (CNC + Fabrication)
- Workshop fabrication full-speed. CNC Laser for acrylic, CNC Router for multiplex
- Mid-fabrication review with brand team (workshop visit)
- Test assembly at workshop, catch issues before loading
- Finishing, paint, laminate, upholstery
- Tech setup pre-test. LED, kiosk, audio
Milestone H-10: Booth/fit-out components 95%+ ready at workshop.
H-10 to H-5: Pre-Production
- Show management coordinate, loading slot, hall access, crew list (for booth)
- Building management coordinate, access, parking, noise hours (for fit-out)
- Logistics plan, truck, crew transport, equipment list
- Insurance & permit verify
- Internal crew briefing, role, timeline, emergency contact
H-5 to H-2: Loading & Setup
- Loading per venue slot, usually overnight for booth
- For fit-out, respect building noise hours
- Structural assembly, frame, flooring, walls
- Finishing details, graphic install, paint touch-up
- Tech installation. LED, audio, kiosk, lighting
H-1: Pre-Opening Day
- Final walkthrough with brand team
- Tech rehearsal, full demo run, audio levels, LED content
- Deep cleaning, dust, smudges, packaging removal
- Staff briefing, talking points, flow, emergency procedure
- Photo documentation pre-opening
H-0: Event Day / Grand Opening
- Onsite standby crew, maintenance, touch-up, issue handling
- Daily cleaning schedule
- Restock sampling, collateral, giveaway
- Tech monitoring. LED uptime, audio, kiosk reboot if needed
- Post-event dismantling plan ready (for booth)
Conclusion
The 60-day timeline isn't excess, it's buffer for the unexpected (extra revisions, out-of-stock materials, crew scheduling conflicts). Briefing at H-20 forces all the compromises: safe concepts, materials that are available now (not optimal), crew who are free (not the most experienced). For serious projects, 60 days is the minimum planning window for booth or fit-out quality.
